We’ve had a busy summer here at EGC, with lots of new interns joining our ever-growing team! While it is an exciting time, it also means EGC has to be prepared to scale our operations – both internally and externally – to continue executing its mission. In order to do this, we have been focusing on three main areas that draw on organizational behavior theory and operations management:
- Standardization
- Feedback
- Trying new things!
Read on to find out more about each of these areas.
1. Process Standardization
Process standardization means documenting how a process should be done so that anyone can follow the steps to achieve the same result. With so many exciting things happening at EGC, process standardization is important so we deliver our best work to the community and ensure our team members feel comfortable doing their jobs.
We have focused a lot on onboarding and role transitions. With new team members joining each week and as some prepare to move on to their next adventure, onboarding and handoffs are becoming more common. To ensure we have best practices in place, we have been creating guides for each functional role. This way, when a new team member joins, they can quickly get up to speed with what their job requires. It also makes the transition between two people easier, as each task already has a standardized procedure in place, so the transition becomes frictionless. Examples of guides we have created are: Intern Onboarding Guide, Communications Guide, and Recruitment Process Guide.
2. Gathering feedback
Gathering feedback is a common practice at organizations large and small. EGC is trying to ensure that all team members’ voices are heard and is providing multiple ways to do so. For instance, an informal way of collecting feedback is during our collaborative meetings – just doing a quick check-in with folks can provide a lot of insight! On the more formal side, we have created two surveys for our interns to take – one they will take at the beginning of the internship and one they will take at the end. By collecting this data, we hope to continuously improve our internship program to keep having an impact on the community.
3. Trying new things!
As we onboard new members and find new partners, we recognize that we will have more perspectives and ideas. We are always looking for ways to improve and one of the best ways to do this is to try new things! We recently changed the format of our staff meetings to a discussion-based format, sparking interesting conversations and opening up opportunities for collaboration across job functions. We have also been experimenting with an online training curriculum for our interns and are excited to hear feedback from them about how it went. We understand that not every idea will turn out as planned – and that’s okay! We will still be grateful for the learnings.
